Business problem: New joiner, leaver and emoloyee change processes are very manual and require involvement of other departments too (IT, Facility, Health&Safety). To see the status of each case and follow the approvals is time consuming and requires additional administration.
Solution: An employee database was created in SharePoint, with strict permission handling (allows access only to HR due to the confidential data), which can be filled with data from SAP or other sources, if this is not the single source. For the workflows a task list was created with separate permission handling to the departments, participating in the process with automated notifications.
Benefit: Querying the employee / position details results in significant time savings and the built in reminders ensures that the process is completed on time. The status is clearly visible for each case and also can be reported as a KPI for HR operations.
